The Old Post Office (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect when you book with us, enquire, or use our website, how we use it, and the rights you have over it. It applies to our three holiday apartments — Penny Red, Two Penny Blue and Penny Black — at The Old Post Office, Aberporth.
Who we are
The Old Post Office is the data controller responsible for your personal information. Our address is Ffordd Yr Odyn, Aberporth, Cardigan, Ceredigion, SA43 2DB. If you have any questions about this policy or how we handle your data, please contact us at sam@theoldpo.com or on 07967 502055.
The information we collect
Depending on how you interact with us, we may collect:
- Booking and enquiry details — your name, the names and number of people in your party, postal address, email address, telephone number, arrival and departure dates, and any special requirements or requests you share with us.
- Payment information — payments are processed securely by our booking system and payment provider. We do not store your full card details on our website.
- Correspondence — any messages you send us by email, our contact or newsletter forms, or social media.
- Website usage information — limited technical data collected automatically through cookies and similar technologies (see our Cookie Policy).
We may also receive your details from third parties through whom you book, such as a booking agency or online travel platform (for example where you have booked via an advertiser rather than directly with us).
How we use your information and our lawful bases
Under UK data protection law we must have a lawful basis for using your personal information. We use your data to:
- Take and manage your booking, take payment, and provide your stay — this is necessary to perform our contract with you.
- Contact you about your booking, send confirmations, pre-arrival information and check-out reminders — necessary to perform our contract.
- Respond to your enquiries and provide customer service — our legitimate interest in running our business and helping guests.
- Keep records for accounting, tax and legal purposes — to comply with our legal obligations.
- Send you occasional news, offers or our newsletter — only where you have given your consent, which you can withdraw at any time.
Who we share your information with
We do not sell your personal information. We share it only where necessary to provide your stay or to run our business, including with:
- Our booking and channel-management system (currently SuperControl) and our payment provider, to process reservations and payments.
- Online travel platforms or booking agencies where you have chosen to book through them.
- Our housekeeping team, where setup information for your stay is needed.
- Our website host, email and IT providers, who process data on our behalf under appropriate safeguards.
- Professional advisers and authorities where we are required to do so by law.
How long we keep your information
We keep your personal information only for as long as we need it. Booking and financial records are kept for the period required for tax and accounting purposes. Marketing contact details are kept until you ask us to stop or withdraw your consent. After that, your information is securely deleted or anonymised.
Keeping your information secure
We take reasonable technical and organisational measures to keep your information safe, and we use reputable providers for our website, booking system and payments. No method of transmission over the internet is completely secure, but we work to protect your data once it is with us.
Your rights
You have the right to: be informed about how we use your data; access a copy of the information we hold about you; have inaccurate information corrected; ask us to delete your information; restrict or object to certain processing; and request your data in a portable format. Where we rely on consent, you can withdraw it at any time. To exercise any of these rights, please contact us at sam@theoldpo.com.
If you are unhappy with how we have handled your information, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.
Marketing
We will only send you marketing communications if you have asked to receive them. Every marketing email includes an easy way to unsubscribe, and you can ask us to stop at any time by emailing sam@theoldpo.com.
